About the Role:
We are seeking a highly efficient and detail-oriented Personal Assistant & Secretary to support our leadership team. This multifaceted role goes beyond typical administrative duties, requiring a versatile and proactive individual who can handle a broad range of responsibilities, including accounting tasks, documentation, and communication management, while maintaining high levels of confidentiality and professionalism.
Key Responsibilities:
Schedule and Calendar Management: Efficiently manage daily operations, appointments, and meetings for the leadership team, ensuring optimal time management.
Correspondence and Documentation: Handle official correspondence, prepare reports, create and maintain accurate documentation, and organize digital files for easy retrieval.
Accounting and Financial Support: Assist with basic accounting functions, including bookkeeping, expense tracking, and generating financial reports.
Communication Coordination: Act as the first point of contact for the leadership team, manage internal and external communications, and liaise with stakeholders to ensure smooth workflows.
Event and Travel Coordination: Organize meetings, events, and travel arrangements, including logistics and itineraries.
Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality, and act with discretion in all matters.
General Office Support: Provide administrative assistance to the team, including handling office supplies, managing workflows, and supporting HR functions.
What We’re Looking For:
Language Proficiency: Fluency in both Sinhala and English is essential; Tamil proficiency is an advantage.
Strong Organizational Skills: Exceptional organizational, time management, and multitasking skills with the ability to prioritize tasks and meet deadlines.
Communication & Interpersonal Skills: Excellent verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders.
Adaptability & Initiative: Ability to work independently and take initiative, with a proactive approach to problem-solving.
Experience: Previous experience in administrative, accounting, or secretarial roles, with a sound understanding of accounting practices and administrative documentation.
Proficiency: High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other productivity tools.
HR Support: Experience with basic HR functions, including employee coordination and management.
Location: Preference for candidates based in or near Colombo, Kollupitiya, Bambalapitiya, Wattala, Welisara, Ragama, or Ja-Ela.
Confidentiality: Must demonstrate high trustworthiness and the ability to handle sensitive information professionally.
